Global Filters

-Use these filters to refine the data presented in the charts and the majority of the grids on the tabs below.

Global Filters

-A default filter is applied automatically. When any filter is active, the icon changes to green to indicate it Global Filters Applied .

-When changes are made to the filters but have not yet been applied, the icon appears yellow Global Filters Not Yet Applied . Clicking this icon will apply the pending filter changes, after which the icon will turn green Global Filters Applied .

- Click the Global Filters Reset icon to revert filters to their default settings.

Charts

The dashboard consists of 3 charts; Openings Fill Rate All Locations, Openings Fill Rate By Location, Leave Requests.

-Openings Fill Rate All Locations - Tracks the overall percentage of filled job openings across all locations.

-Openings Fill Rate By Location - Displays job openings fill rate for each specific location.

-Leave Requests - Shows all employee leave requests that are still awaiting approval.

-Hovering over the bars in the graph displays additional details about the openings and leave requests for each location.

- Clicking the ExpandChartIcon will expand the chart. The charts only show the top 4 locations for the Center and Right charts, expanding the chart will show all the locations.

Managed Openings Tab

The Managed Openings Tab displays a consolidated view of openings across multiple locations that the user manages. This tool provides a quick and efficient way to oversee and track all managed openings in one place.

Create Opening

- Click the Add Icon to create a new opening.

Edit Opening

- Click the Edit Icon icon to edit the opening in the selected row.

  • This action will redirect you to the Edit Openings page, where you can modify the details of the opening.

Mass Cancel Opening/Assignments For A Specific Date

- Click the MassCancelButton to begin mass canceling all time slots on a specific date. Select a Date and enter a Reason then hit save.

NOTE - This will cancel all assigned and unassigned time slots on that day and is irreversible

View Qualified Substitutes

- Click the Qualified Substitutes to show the Qualified/Eligible Substitutes, their ranking, and details for the ranking.

- Clicking the '>' opens the details for the ranking of that substitute

Send Notification To Substitute for Opening Still Available

-Click the SendNotificationIcon to send a notification the Qualified/Eligible Substitutes saying that this opening is available.

Cancel Opening

- Click the CancelOpeningIcon to initiate cancellation of the opening for the selected row. A confirmation screen will appear. Click ConfirmButton to confirm and complete the cancellation of the opening.

Show Time Slots

- Click the ExpandGridDetailsIcon to show the time slots on the opening and who they are assigned to.

Filtering

- Some columns are able to be filtered, some have dropdowns, other allow text (some of which you can change how the filter behaves)

Filter Option Description
Starts With Matches values that begin with the input text. Example: "Pro" matches "Product"
Ends With Matches values that end with the input text. Example: "Pro" matches "MicroPro"
Equal Matches values that exactly match the input. Example: "Admin" matches "Admin" only
Contains Matches values that contain the input text anywhere. Example: "Pro" matches "Product" and "MicroPro"
Less Than Matches values less than the input (for numbers, dates, etc.). Example: 50 matches 10 and 49
Less Than or Equal Matches values less than or equal to the input. Example: 50 matches 50 and 49
Greater Than Matches values greater than the input. Example: 50 matches 51 and 100
Greater or Equal Matches values greater than or equal to the input. Example: 50 matches 50 and 60

- Click the FilterToTodayButton to filter the grid to today, click it again to clear the filter

Managed Assignments Tab

The Managed Assignments Tab displays all staff members you manage across various locations, along with the substitutes assigned to cover their absences.

- Click the Edit Icon Edit icon to modify the selected record.
- This action opens the editing interface where you can update the existing information.

Assignment Statuses

Status Meaning
Active Substitute is assigned and has upcoming time slots
Complete Substitute's attendance has been verified for all time slots (final state)
Partially Complete Substitute's attendance verified for some time slots, rejected for others (final state)
Not Attended Substitute's attendance has been rejected for all time slots (final state)
Canceled Substitute has canceled all time slots and is no longer assigned (final state)

My Openings Tab

The My Openings Tab displays openings generated from approved leave requests submitted by the user. This feature provides a quick and convenient way to track and manage personal openings.

Create Leave Request

- Click the Add Plus Icon button to create a new leave request.
- This action allows you to input all necessary details for submitting a new leave request.

Editing A Leave Request

- Click the Edit Icon icon to edit the leave request for the selected row.
- This opens the Edit Leave Request page, where you can modify the details of the request.

Approving/Denying A Leave Request

Click the Eyeball Icon View icon to approve or deny the selected request. This action provides options to review and take action on the request.

  • This action opens a page specifically designed for approving or denying leave requests. Unlike editing, this page focuses on decision-making, not direct changes to the request.

Pending Profile Images Tab

- The Pending Profile Images Tab allows managers to review and verify any pending profile images submitted by users.

- Click the Approve Image Icon to verify and approve the pending profile image.

- Click the Reject Image Icon to reject the pending profile image.

My Leave Requests

Create Leave Request

- Click the Add Plus Icon button to create a new leave request.
- This action allows you to input all necessary details for submitting a new leave request.

Substitute Attendance Tab

- The Substitute Attendance Tab allows managers to verify substitute's attendance.

- Clicking the Verify Button opens the Verify Assignment Attendance form, allowing the manager to view notes left by the substitute, add their own notes, and edit the Actual Time Worked.

- Clicking the Reject Button opens the Reject Assignment Attendance form, allowing the manager to reject the attendance of a substitute, if a substitute does not show up.

-If 'Substitutes Must Verify Their Own Attendance' is enabled in the location's preferences, the 'Substitute Verification' column becomes available, this is where the manager can see if the substitute has verified their attendance:

Grid Operations

- Clicking the Export Button will export the current grid to an Excel sheet.

- Clicking the ColumnChooserButton will bring up a column chooser where a user can choose which columns are displayed in the grid.

- Clicking the Save Layout Button will save the layout of the grid so it can be loaded at another time easily.

- Clicking the Load Layout Button will load the saved layout of the grid.

- Clicking the Reset Layout Button will reset the layout to the default layout for the grid.
