Purpose/Introduction

The purpose of the SmartSub system is to efficiently manage openings in time slots by pairing them with qualified substitutes. This system ensures that staffing gaps are filled seamlessly, enabling smooth operations within schools and districts.

Key Features and Process Overview

  1. Leave Request and Opening Creation:

    • When a staff member submits a leave request, it is processed by the SmartSub system, which generates an opening for the empty time slot.

  2. Notification to Substitutes:

    • The system sends a notification (via SMS or email) to a prioritized list of substitutes, informing them about the opening.

  3. Substitute Response Options:
    Substitutes have the flexibility to:

    • Accept the entire opening.
    • Accept part of the opening (e.g., specific time slots).
    • Accept openings that span multiple days if they are available.

  4. Substitute Management and Enrollment:

    • School districts can enroll substitutes into the SmartSub system and manage their profiles.
    • Staff members have the ability to create a priority ranking of preferred substitutes to better match them with available openings.

  5. Staff Collaboration:

    • Staff members can share lesson plans and important details directly with substitutes when an opening is accepted.
