Release 1.18 — Release Notes

General Features

  • Notification preferences, improved. The Notification Preferences screen now allows more control over additional notification categories. A "What you'll get" recap below the preferences summarizes the settings you chose, badges show how each event treats quiet hours, and the quiet period help text was rewritten.
  • Per-event notification settings. Categories can now be overridden event by event. Within a category such as Openings, each event can carry its own enabled state, delivery method, and quiet period behavior, or fall back to "Same as category". Opening notifications are now sent only on real changes to an opening, and a duplicate notification on assignment was removed.
  • Clearer registration errors. The registration page now classifies failures into safe, specific messages instead of a generic error, tells you when an account with that email already exists.
  • User Profile help links. The missing help links on the User Profile pages were restored.
  • News popup. The news and notification popup now sizes itself correctly on both desktop and mobile instead of rendering at a fixed desktop size.
  • New Grid Featues:
  • Arrange any grid the way you work. Every major grid now carries the same toolbar. The Column Chooser lets you show and hide the optional columns for that grid, columns can be reordered by dragging their headers, and column widths can be resized by dragging the divider between them.
  • Save a grid layout and come back to it. Save Layout stores the grid exactly as you have it: which columns are visible, their order and widths, and your sorting, grouping, and filter selections, including the choices made in the multi-select filter popups. Restore Saved Layout brings it back, and Reset Layout to Default discards it. Layouts are saved separately for each grid on each page and are kept in your browser, so they persist between sessions on that browser.
  • Export any grid. The toolbar's export menu writes the grid to Excel (.xlsx), CSV (.csv), or PDF (.pdf), using the columns you have visible and the order you put them in. Note that the export function may not provide satisfactory results if the grid is grouped. The grouping values will not be included in the export

For Administrators & Managers

New features

  • Delegated Location Authorization. An RMU can now delegate Location Authorization to a Substitute Management Unit. A delegated SMU manager may add and update substitutes at the delegated locations, but is restricted to the Member role and cannot set the Preference field.
  • Managed Locations page for SMU managers. Substitute Staff Managers get a new Managed Locations page showing only the locations delegated to them, filterable by SMU and RMU.
  • Location authorization has a real status lifecycle. Deactivating a location substitute and removing one are now separate actions. A status change is reversible and preserves the substitute's preference and assignment categories; removal is a hard, irreversible delete. Client Administrators are now recognized as holding authority over the RMUs and SMUs of their client organization, closing a gap where they could not manage location substitutes without a direct relationship row.
  • Assign substitutes to pool individual The SMU Substitute grid can now assign a single substitute to a pool or clear their pool without leaving the grid.
  • Assign substitutes to pools in bulk. The SMU substitutes grid gains an Assign to Pool action that moves every selected substitute into a pool, or clears their pool, in one operation.
  • Grouping in the substitutes grid . The substitute management grid can now be grouped by one or more columns. You can drag one or more column headers into the group drop area to organize the substitutes however you like. If you save the grid with the new tool bar, your grouping will be saved as the future defaults.
  • Choose the SMU when a substitute is authorized through more than one. A substitute may now be authorized at a location under several SMUs. The candidate list surfaces every qualifying SMU per candidate, assignment creation honors an explicit SMU choice and validates it for eligibility, and selection is deterministic when no choice is made.
  • Administration permission changes. A Reseller Administrator can now remove their own client admin role from the Client Organization grid, with confirmation. API configuration and notification method editing are restricted to authorized users.
  • Invitations are retained after they settle. Invitations now have explicit terminal statuses (Completed, Canceled, Expired) and are kept for a retention window rather than disappearing when the invitation finishes. The grid defaults to active invitations and treats completed and canceled records as history; expired invitations can be re-invited; and superseding an invitation now cancels the old one instead of marking it completed.
  • Shifts can be removed from a location. Shifts now soft-delete and restore rather than being undeletable. Deleted shifts are hidden by default behind a Show deleted toggle, are visually distinguished, are read-only, and are excluded from shift pickers and grid editors.
  • Manager approval alone completes attendance. A manager's approval now marks attendance complete regardless of whether substitutes are allowed to verify their own.
  • Candidate Results grid shows profile images. The name column in the Candidate Results grid now includes the candidate's profile image.

Openings, candidates & assignments

  • Opening grid Summary column. The Summary column now shows only the time slot date range, with total elapsed time moved to a tooltip.
  • Double-booking is blocked correctly. Schedule conflict checks now exclude only Canceled assignments and time slots. Assignments in Complete, Not Attended, and Partially Complete states again block a second assignment for the same substitute at the same date and time, which previously allowed a duplicate assignment and an overlapping time slot through the candidates service.
  • Pools evaluate opening age correctly. The opening's creation time is now carried on the opening record used for pool evaluation, so pool activation based on opening age works and substitutes in later pools receive the openings they are eligible for.
  • Reserved substitutes. The reserved-substitute list is now set only from what you supply; a pre-arranged substitute is no longer added automatically. Declining an opening now removes that substitute from the reserved list.
  • Reserved substitutes are read-only for non-managers. Only managers can edit the reserved substitutes on an opening. Everyone else, including regular staff, sees the list without the Add and Delete actions.
  • Today's slots are no longer treated as past. Availability and notification logic now includes time slots scheduled for today even when the slot's start time has already passed, instead of suppressing them.
  • Substitute location controls are visible in the editor. The location substitute editor shows a badge for a substitute's own notification and eligibility setting when editing a single location, with a warning badge when notifications are suppressed rather than an error badge.

Payroll & exports

  • USPS export columns. Retire Hours is now populated with the hours actually worked, net of any break, for entries paid by the hour and by the day. Break time is now recorded for daily-rate entries as well, where it does not change the paid units but does change the hours reported for retirement. The attendance record flag is now exported as Y.
  • RMU and client organization on timesheets. Timesheet exports now carry the RMU id and name and the RMU's client id and name.
  • Timesheet transfer requests are validated. Requesting a timesheet transfer now checks that notification targets are configured and reports a clear error when they are not, instead of silently producing a request no one receives.

Reports & fixes

  • Attendance verification respects your authority. Rows you are not authorized to verify can no longer be selected for mass approval, and the grid tells you when a selection was rejected instead of silently dropping it.
  • Admin User Detail page. The page no longer breaks for users with a large assignment history; recent assignment locations are now loaded only as needed, and the page reloads correctly when you switch to a different user.
  • Substitute preference field is role-gated. The Substitute Preference field is read-only below Location Coordinator, with an explanation shown in place of the editor.

For Regular Staff

  • Reserved substitutes are read-only. You can see the substitutes reserved for an opening, but adding and removing them is limited to managers.
  • Notification preferences. The redesigned preferences screen and per-event overrides described under General Features apply to your account.

For Substitutes

  • Control your own participation per location. Each location you are authorized at now carries your own setting: Allowed, Notifications Suppressed, or Blocked. Suppressing notifications keeps you eligible but stops the alerts; blocking removes you from consideration at that location entirely. The setting is yours, so no one else can change it on your behalf, and re-inviting you to a location no longer clears it.
  • Per-event notification preferences. Opening notifications can now be tuned event by event, including delivery method and whether an event ignores your quiet hours. See General Features above.
  • Openings for today are no longer suppressed. Time slots scheduled for today are included in availability and notification logic even if the slot's start time has passed.
  • My Attendance in the menu. Your attendance page now has its own My Attendance menu entry rather than having to be reached from elsewhere.
  • Clearer instructions. Accepting a job no longer describes a separate Accept click: select your time slots and click Save. The invitation acceptance and onboarding messages were rewritten for clarity, the Preferred Substitute and ranking wording now states that preferred status increases your ranked score rather than guaranteeing notification order, and the invitation grid's checkbox tooltip now reads Finalize instead of Accepted.

For Reseller and Support Administrators

  • Role assignment is limited to system administrators. Assigning user roles from User Maintenance now requires the System Administrator role.
  • Traceable registration failures. Registration failures now produce a reference ID tied to the request trace, so a user-reported failure can be located in the logs.
  • Record visibility layer. Assignment, attendance, and daily attendance visibility now resolve through a single reach and scope service resolved per call, replacing the earlier cached permission id-sets. The superseded accessors were retired.
