Managed Locations

The Managed Locations page gives a Substitute Management Unit a location-by-location view of its own substitutes, for the locations a Regular Staff Management Unit has delegated authority over.

Path:

  • Substitute Staff Manager: Managed Locations in the main menu.
  • Client Administrator: Substitute Admin menu -> Managed Locations. This menu entry only appears once at least one location has been delegated to you.

Note: This page is available to Client Administrators and Substitute Staff Managers. A location only appears here after the Regular Staff Management Unit that owns it turns on Delegated for one of your Substitute Management Units. See Substitute Management Units for that setting.

ManagedLocations

  • If nothing has been delegated to you, the page says so rather than showing an empty list.

Filters

Two filters can appear above the location list, and each one only shows when it would actually be useful.

  • Sub Mgmt Unit narrows the list to one of your units, and appears only if you manage more than one unit with delegated locations. Units that are groups are marked (Group).
  • Regular Staff Mgmt Unit narrows the list to the locations belonging to one Regular Staff Management Unit, and appears only if more than one has delegated to you.
  • If you have a single unit and a single delegating Regular Staff Management Unit, neither filter appears and the full list is already what you want.
  • If no locations match the filters you have set, the page says so.

Working With a Location

  • Each delegated location is a tab down the left side. Select a tab to work with that location.
  • A tab shows the location's Substitutes list only. The staff, departments, leave request, settings and payroll sections of the full Manage Location page are not part of this view.
  • The list shows only substitutes authorized at that location through the Substitute Management Unit you manage. Substitutes authorized there through a different unit are not shown.
  • When you add a substitute, the picker offers only members of your own unit who are not already authorized at that location.

What Stays With the Location

Delegation does not hand over everything. At a delegated location you cannot:

  • Remove a substitute's authorization. You can set them inactive, but only the Regular Staff Management Unit can remove the record.
  • Change the location's Preference for a substitute, including Blocked. That stays with the location, so a block set there holds regardless of delegation.
  • Grant a location management role such as Coordinator.
