See and manage the devices signed in to your account. Your account now has an Active Sessions page listing every device and browser currently signed in, with the device or app, when it was last active, and whether it is connected right now. You can sign out any single session, or use Sign Out All Other Sessions to end every session except the one you're using. Sessions started without Remember me are shown distinctly, along with an explanation of why they can linger after you close the browser.
Sessions end when they should. Changing your password, having an administrator reset it, or having your roles changed now ends your other sessions immediately rather than leaving them live until they expire. Expired sessions are cleaned up automatically.
Profile image fixes. You can now re-upload the same image file without reloading the page, and images with transparent backgrounds are placed on a white background instead of letting the page show through.
More consistent validation messages. Validation messages across every form now use the same components and placement, so a failed save always explains itself in the same place. Several forms that could previously fail silently now show their messages.
Faster page loads on large accounts. The permission lookups that run behind most screens were reworked to query on demand instead of building large cached sets, improving load time for users who manage many locations, departments, or staff.
Updated user documentation. Documentation was reorganized again this release: new pages for the Daily Attendance Report, Assignment Categories, Ineligible Openings, All Locations staff/substitute/leave views, and Active Sessions; leave-request pages consolidated per role; and shared content moved into includes so the same instructions no longer drift between roles.
For Administrators & Managers
New features
New Coordinator role. Locations, departments, and management units can now grant a Coordinator role. Coordinators can see the openings, assignments, and leave requests for the locations and departments they're attached to, but management and setting screens are presented read-only, so they can't change them. Coordinator sits below Manager, so you can give someone visibility — a front-office assistant, for example — without giving them the ability to edit location or department settings.
Reissue an opening. Openings now have a Reissue action that creates a new opening from an existing one, copying its details and active time slots, and cancels the original. Use it when an opening needs to go back out to substitutes for changes that can't be edited in place.
Daily digest for coordinators, managers, and administrators. The daily digest email now includes openings for the locations and departments you manage, alongside the existing substitute-facing content. Each table shows assignment category and fill status, and preferences let you set a per-location row cap (0 for unlimited) and how far the digest looks. Recipients covering several locations get a table of contents with links to each one; recipients who receive digests by SMS get a summary count and a link to the dashboard.
Notify all eligible substitutes at a priority level. Now allows multiple priority levels to be specified, so you can notify substitutes by rank based on the proximity of the opening's start time.
Activate a deferred substitute pool when candidates are short. Deferred pools have a new Insufficient Candidates condition: the pool activates when the higher-priority pools don't produce at least the number of eligible candidates you specify. Use it on its own — no time condition required — if you have a higher-priority pool of permanent substitutes but want to open a pool of temporary substitutes whenever the permanent pool can't field enough candidates. It can also be combined with Deferred Opening Age and Deferred Start Proximity, and any one of the three opens the pool.
Pool conditions are now separated into two independent groups. A conditional pool's normal conditions — Opening Age, Start Proximity, Maximum Opening Duration — are properties of the opening and always apply. The defer conditions are a separate group that applies in addition while a higher-priority pool is working the opening, rather than replacing the normal conditions. Each group is configured independently: you can now set defer conditions without first setting a normal condition, and a new Defer When Higher-Priority Pool Is Active switch controls whether the pool defers at all. Existing pools are unaffected.
Opening notifications go to the right people. Notifications for an opening are now sent only to substitutes who are assigned to it or actually able to take it, rather than to a broader list. Managers of the location now receive the notification as well.
Openings, candidates & assignments
Candidate list ordering. The candidate list now groups candidates as eligible, then restricted, then ineligible, with the highest-ranked candidate first within each group, so a restricted candidate can no longer appear above an eligible one.
Ranking weights are easier to reason about. The location ranking-weights screen is now a grouped tree showing each quality factor under its eligibility level, along with the factor's base effect, your weight, and the resulting calculated effect on rank. Restricted factors can now be weighted; factors with no rank effect — such as a pool not yet being active, which is a timing gate rather than a quality judgment — no longer offer a weight.
Same-day openings evaluate pools correctly. Pool activation thresholds now use each time slot's actual start time instead of treating a same-day slot as starting at midnight, so pools open up at the right moment for openings created the same day. Selecting specific slots in the candidate list now also keeps opening-level rules such as pool activation and duration checks in effect.
Coordinator and manager access to managed openings. Several screens — managed openings, managed assignments, and per-opening edit permissions — filtered on the Manager threshold and so excluded Coordinators. They now use the Coordinator threshold.
Substitutes & authorization
Location categories can't exceed SMU authorization. A location manager can no longer grant a substitute an assignment category that the substitute's SMU hasn't authorized. Categories not authorized at the SMU level are disabled in the location editor, with a warning when the substitute has no SMU-authorized categories at all. Reducing categories at the SMU level now cascades down to the affected locations, including a reduction to none, and stale over-authorizations are corrected when the location editor loads. Previously such categories could be saved and would then be silently disqualified at assignment time.
Invitations
"Save & Next" is back. The Save & Next button on the invitation accept dialog, which was disabled in 1.16, is restored and fixed. It now follows the order shown in the grid — honoring your sort and filter — and advances reliably through a batch, including invitations created by mass file upload with near-identical timestamps. Clicking it twice while a save is still in flight no longer duplicates location assignments or closes the dialog instead of advancing.
Reports & exports
USPS pay type override. (v1.17.2) USPS clients now have a USPS Pay Type Override setting on the Contact & Payroll Information tab. Leave it blank and the export behaves as before — REG when the entry has no expenditure account, MIS when it does. Set it to MIS and every exported record uses that pay type, so substitute pay is treated as miscellaneous pay even on records that fall back to the substitute's default payroll accounts in USPS. Entries carrying a Substituting for Id keep the standard behavior.
Daily Attendance Report. Canceled assignments no longer appear on the report.
Substitute Attendance export. Exporting the Substitute Attendance grid to Excel no longer fails, and a full export is no longer limited to the current page.
Usability fixes
Tab selection sticks on Location Admin. Navigating to a tab on the location administration screen now keeps that tab selected instead of reverting.
Client delete button moved. The delete action on client maintenance was moved out of easy mis-click range.
Leave Requests tabs. The Leave Requests screen's tabs were restructured for clearer visual hierarchy, with updated help links.
Desktop layout and styling. A round of styling and layout fixes across Location Admin, Client Admin, and the Home dashboard, including phone number formatting, grid column widths, and status badge styling.
For Regular Staff
Active Sessions. You can see every device signed in to your account and sign out any of them from your account pages. See General Features above.
Assignment categories you can actually request. The substitutes available to you are matched against the categories your management unit has authorized, so the lists you see reflect what you're actually permitted to request.
For Substitutes
Active Sessions. You can see every device and app signed in to your account and sign out any of them — useful if you've used a shared device or lost your phone. See General Features above.
Fewer notifications for openings you can't take. Opening notifications now go only to substitutes who are assigned to the opening or eligible to take it.
Same-day openings become available on time. Openings created for the same day now respect substitute pool timing based on the slot's actual start time, rather than being treated as starting at midnight.
For Reseller and Support Administrators
Session administration. A new Sessions page under Admin provides a live grid of user sessions with device and app details, connection status, filtering, sorting, and paging. You can revoke a single session, every session for a user, or all sessions but your own, with confirmation. Password resets you perform on a user's behalf now revoke that user's sessions immediately.
Automatic cleanup of defunct users. A recurring job now removes users who have been inactive for 60 or more days and hold no relationships. Administrators are excluded.
Automatic cleanup of notification and digest history. A weekly job purges delivery and recipient result logs older than their retention period, and a nightly job removes old digest batches and their details, keeping those tables from growing without bound.
Corrected protocol on incoming notification results. Incoming delivery results are now recorded with the correct protocol for their notification method, so email, phone, web service, and browser push results are attributed correctly in the delivery history.
